Intake Customer Service Assistant/Scheduler

Education:  High School Diploma or GED.  Must be able to read and comprehend written instructions; write legibly; operate office equipment (fax machine, credit card machine, and computer); file accurately and keep records.
Experience:   Two years clerical, one year of customer service experience, skilled in using an electronic medical record or similar database, excellent telephone etiquette.
Working Conditions:  Indoor work, shared office space/call center, local travel for agency meetings and trainings.  Busy, high stress office, potential for client crisis situations, flexibility and multi-tasking required.
Computer Literate: copy machine, personal computer, calculator, fax machine and credit card machine.
Primary job duties include: Functions as access point for participants and staff on the telephone served in the community. Schedules appointments for office-based, home and community-based clients and providers. Ensures that all scheduling of appointments is responded to in real-time in Avatar. Returns all voicemail within same-day or no later than the morning of the next day. Answers the telephone in a professional manner and directs the call to the appropriate person. Completes calls and confirmations of appointments as assigned. Verifies client insurance, demographics, and other pertinent data for scheduled appointments if needed. Responds to cancellations and requested rescheduling of appointments. Schedules or accesses interpreter services or auxiliary aids for clients as needed. Responds to Central Intake faxes if necessary. Distributes faxes according to distribution schedule. Works with clinical staff to ensure that all client updates are completed if required. Relates well with others and deals calmly with a diverse population. Establishes and prioritizes job tasks, desired solutions to problems and develops a realistic plan for their accomplishment. Other duties as assigned.

Hourly pay range: $12.00 to $16.00
Must be able to complete a Level II background screening and pre-employment drug test in compliance with Florida Law.
